Scope

This privacy notice applies to representatives of prospective and active customers, suppliers, agents and business partners.  The information in this Privacy Notice should be provided at the point of data capture or upon the first contact with the individual.

For the purposes of the General Data Protection Regulation (EU) 2016/679 (or ‘GDPR’), and the UK Data Protection Act 2018 (or ‘the Data Protection Act’), Primetake Ltd is a data controller with respect to the personal data that you provide to us. 

Primetake (or ‘We’ or ‘Us or ‘Our’’) is committed to respecting and protecting your privacy.  Questions and comments about this privacy notice are welcomed. All data protection queries go through a central function in our parent company, Key Technologies, and should be directed to clare.day@keytechnologiesplc.com in the first instance.

What is Personal Data?

The GDPR and the Data Protection Act apply to ‘personal data’ meaning any information relating to an identifiable individual who can be directly or indirectly identified by reference to data items such as: name, contact details, unique identification numbers, location data or online identifiers.

How Primetake uses your information

In order to maintain business to business relationships, Primetake needs to collect personal data about you. This is required for the legitimate interests of Primetake – for correspondence purposes and/or detailed service provision where a contract exists between Primetake and the organisation that you work for.

Primetake will process – that means collect, store and use – the information you provide in a manner that is compatible with the GDPR and the Data Protection Act. Primetake will endeavour to keep your information accurate and up to date and not keep it for longer than is necessary. In some instances, the law sets the length of time information must be kept, but in most cases, Primetake use a set of retention rules to ensure that data is not retained any longer than to fulfil the purpose for which is has been collected. 

The aim is not to be intrusive and we will not ask irrelevant or unnecessary questions. Moreover, the information you provide will be subject to rigorous measures and procedures to minimise the risk of unauthorised access or disclosure. These measures are described in our IT Security Policy.

What information Primetake may collect from you

Primetake needs to collect personal data for legitimate interests – for correspondence purposes and/or detailed service provision where a contract exists between Primetake and the organisation that you work for. We may collect information directly from you, from publicly available sources or through our Agents. Categories of the type of information we process are:

  • Name and contact details (e.g. Email address, phone number, office address)
  • Job title and position within the company 
  • Requirements and preferences
  • General correspondence between both parties

A description of these legitimate interests:

  • To identify and pursue commercial opportunities
  • To deliver products and services to our customers
  • To carry out fair and equitable procurement process when considering new suppliers 
  • To appropriately address business related documentation such as purchase orders or invoices to the correct contacts
  • To maintain an up-to-date record of contact details for standard business correspondence and customer or supplier relationship management
  • To keep customers updated about our services and educational resources

In addition to the above, we have a legal obligation to collect and store contact details and signatures on contracts and NDAs, in order to maintain confidentiality and be contracted to undertake agreed programmes of work. 

We also capture visitor sign-in information when business associates are visiting our sites, for health and safety compliance.  During pandemic protocols, we may temperature screen on our sites, but this data is not stored, it is just used to determine whether to allow admittance.

Where we use your personal information for marketing and communications purposes such as the distribution of a corporate newsletter or webinar invitations, you may opt out at any time, simply by emailing sales@primetake.com. We will immediately withdraw your name from our marketing lists. In addition to this, all our electronic marketing material carries an unsubscribe option, so you can also unsubscribe at any time.

During the processing of your personal information, no automated profiling or decision-making takes place.

We do have customers in several different countries and agents who operate with them locally, but any customer contact data is only processed in the originating country, or in the UK.

Disclosure of your personal data

Primetake will never disclose your data to other parties for their own use. Your personal data may be processed by a limited number of service providers, including our outsourced IT Partner, our Agents and distributors, and our Finance, MRP and Customer Relationship Management system providers.  In some cases, contact information may also be shared with freight service providers, for the delivery of goods to our customers. These parties are all contracted to Primetake, are obliged to keep your details secure and use them for no other purpose than to fulfil the service that they provide to us.

Users contacting this website and/or its owners do so at their own discretion and provide any such personal details requested at their own risk. Your personal information is kept private and stored securely until a time it is no longer required or has no use, as detailed in the Data Protection Act 1998. Every effort has been made to ensure a safe and secure form to email submission process but we advise users using such form to email processes that they do so at their own risk. This website and its owners may use any information submitted to provide you with further information about the products / services they offer or to assist you in answering any questions or queries you may have submitted. This includes using your details to subscribe you to any email newsletter program the website operates, but only if your express permission was granted when submitting any form to email process. Your details are not passed on to any third parties.

You have the right to ask for your data not to be processed for marketing purposes and where any processing of personal data is carried out on the basis of your consent, you have the right to withdraw that consent as easily as it was given.

You have the right to request that processing of your personal data is restricted, where there is an objection or request for rectification pending, or where you require data that would otherwise be deleted to be retained, for example for the defence of legal claims.
